Use a customer quote to state the exact work, exclusions, final price and payment terms. Copy the blank template below into your document, or calculate the price and print a scope-based estimate with the existing tool.

Worked example: make selected work and payment timing clear

Worked examples use illustrative USD inputs, not national averages or recommended market rates. Service prices exclude applicable sales tax.

A fictional customer selects a $480 driveway wash plus a $120 walkway wash. The service subtotal is $600. If the parties agree to a 25% deposit on that subtotal, the deposit is $150 and the remaining service balance is $450. Calculate and show any applicable tax separately before confirming the final customer total.

The scope might say “wash the listed driveway and front walkway; include the agreed spot treatment.” The exclusions might say “no sealing, repairs or additional surfaces; complete stain removal is not promised.” Describe the actual site instead of copying exclusions that do not apply.

An unselected optional service should be marked optional and left out of the accepted total. The validity period tells the customer how long the quoted scope and price are offered; it is not a promised work date.

Before sending the quote

  • Check the customer and service address, including access arrangements.
  • Confirm measurement units and the exact surfaces being cleaned.
  • Make selected treatments and exclusions understandable.
  • State whether a deposit applies and when the balance is due.
  • Confirm applicable tax, payment methods, quote expiry and scheduling.
  • Review how additional work will be agreed and priced.

Keep your labor rates, chemical budget, overhead and target profit in your internal costing sheet. The customer needs the agreed scope and customer price. The estimate calculator’s customer printout keeps internal costs out by default.

When you need to track what happened to the quote

A copied template works for a small number of quotes if you record the status and next follow-up yourself. If approval, scheduling and invoices become hard to follow, compare software using one complete quote-to-payment workflow.
